Description and scope of data processing

Communication via contact form
Our website includes a contact form that can be used to contact us electronically. If a user chooses to use this form, the data entered will be transmitted to us and stored. Required fields are:

  • E-mail address
  • First and Last Name
  • Message content
Optionally, the following can be entered:

  • Address/Country
  • company
  • Telephone number
  • fax number
  • Regarding

Alternatively, you can contact us via the provided email address. In this case, the personal data you transmit with your email will be stored.

  • Email address(es)
  • Message content
  • Optionally, include signature with first and last name, address, telephone number, company
  • If applicable, an attachment (attached document)

The following data is also stored in a log file at the time the message is sent or received:

  • Date and time the email was sent
  • Amount of data transferred
  • User's email system
  • Strength of transport encryption
  • SPAM filter analysis (possibly also of the sending system)
  • Message ID of the sending system
  • Reply email address

Please note:
Despite transport encryption, email communication can have security vulnerabilities. For example, emails could be intercepted and read by unauthorized individuals as they travel across the internet. If we receive an email from you, we assume that we are authorized to reply by email. Otherwise, we must explicitly request that you use a different method of communication.
Our website lists a telephone number that can be used to contact us by phone. Depending on the nature of the inquiry, the information exchanged will be added to our customer database.

No information will be shared with third parties during any form of contact. Your data will be used exclusively for processing your request.


Legal basis for data processing
The legal basis for processing data transmitted during contact is Article 6(1)(f) GDPR. If the contact aims at concluding a contract with the data subject, the legal basis for processing is Article 6(1)(b) GDPR.

Purpose of data processing
The processing of the personal data you provide is solely for the purpose of handling your inquiry. This also constitutes our legitimate interest in processing the data. Other personal data processed during the submission process (contact form/email) serves to prevent misuse and ensure the security of our IT systems.

Storage duration
Depending on the purpose, the transmitted data will be deleted as soon as it is no longer required to achieve the purpose for which it was collected, i.e., when the respective conversation with the user has ended and there are no potential reasons for renewed contact or legal reasons (retention periods, traceability) that prevent deletion.

Opportunity to object and have the matter rectified
The user has the right to object to the processing and storage of their personal data at any time. In this case, all personal data stored during the contact process will be deleted, unless legal requirements (retention periods, documentation) prevent this. If data is deleted, the conversation cannot be continued.
